MMR Vaccine Scheduling Guidance – Pediatrics Update
Important Information for Call Center & Scheduling Staff
Due to increased concern from the recent measles cases in Santa Fe, we are seeing a surge in calls from parents requesting MMR vaccines. Please follow the guidelines below to assist these families and ensure accurate information is being shared.
Key Points to Communicate to Parents
MMR Dose Requirements:
Two doses of MMR are required:
First dose at 12 months (1 year)
Second dose at 4 years old
Any doses given prior to 12 months of age will NOT count toward this official schedule, per CDC/DOH guidelines.
Parents must still return for the 1-year and 4-year Well Child Checks (WCC) to receive the official doses.
Informing Pediatrics:
If a parent insists on early MMR vaccination (outside routine WCC timing), create a patient case to notify Pediatrics Team so they can:
Monitor doses given
Track vaccine inventory
Prepare for potential increase in ordering
Vaccines Out of Cycle:
If the patient is not eligible or is trying to get the vaccine outside the typical schedule:
Advise them to reach out to a local pharmacy, as MMR is a covered pharmacy benefit
Create a patient case if scheduling is still requested so Pediatrics can evaluate
Script for Scheduling Staff:
“I understand your concern. Please note that according to public health guidelines, MMR doses given before the child turns 1 year old do not count toward the required series. Your child will still need to receive their MMR shots again at their 1-year and 4-year well checks. If you'd like, I can create a note for our Pediatrics team to follow up, or you can check with a local pharmacy to receive an early dose if needed.”

For pediatric patients, please ask these questions before scheduling or inviting them to walk in. IF the parents/guardians cannot answer any of the questions or fail the screening, please have them copy/paste screening into patient case and send to Kirk Staff for team to triage and reach out
You can set these questions up beforehand by saying:
"In order to get the patient seen, I need to ask a couple of prescreen questions per Dr. Kirks office, as there is a recent measles and mumps outbreak at this time in New Mexico and surrounding areas"

Copy and paste the below questions and answer them in patient case.
- Vaccination Status:
- Has the child received the measles-mumps-rubella (MMR) vaccine?
- If yes, when was the last dose administered?
- If not, what is the reason for not being vaccinated?
- Symptom Check:
- Has the child experienced any symptoms such as fever, cough, runny nose, red eyes, or a red spotted rash in the past 7 to 21 days?
- If yes, have these symptoms been reported to a healthcare provider?
- Exposure History:
- Has the child been in contact with anyone who has been diagnosed with measles or has symptoms consistent with measles in the past 21 days?
- Has the child visited any of the locations identified by the New Mexico Department of Health as potential exposure sites during the specified times?
- Travel History:
- Has the child traveled to any areas with known measles outbreaks in the past 21 days?
- Health Status:
- Is the child currently experiencing any other symptoms that might indicate a compromised immune system or other illnesses?
- Additional Precautions:
- Is the child currently under any medical treatment or advice that might affect their ability to receive the MMR vaccine?
IF PATIENT HAS A SCHEDULED APPOINTMENT AND IS EXPERIENCING A RASH OR FEVER OR HAVE BEEN TO A STATE OR AREA OF OUTBREK, ATTEMPT TO TRANSFER TO TRIAGE. IF TRIAGE IS UNAVAILABLE, ATTEMPT TO TRANSFER LLASMIN. IF LLASMIN IS UNAVAILABLE, TRANSFER TO CLINIC MANAGER
Identified outbreak areas are Texas, and Gaines County Border w/Lea County in New Mexico, or any patients that have recently crossed the NM/TX/Mexico border in last 28 days.
